Key Responsibilities

Patient Journey Management: Lead the registration, admission, and discharge processes; ensure all patients are seen by doctors without delay and clearly communicate all facility formalities. Dynamic Scheduling: Maintain a computerized appointment system; optimize provider time by managing switches, cancellations, and reserved time-slots for urgent "walk-in" cases. Financial & Billing Oversight: Execute precise billing for medicines and procedures for both cash and insurance patients; handle daily cash collections and handover to accounts. Insurance Coordination: Prepare and organize insurance claim forms, attaching necessary radiographs and doctor narratives, and manage timely submissions to insurance firms. Clinical Support & Safety: Notify providers of patient arrivals, monitor service delays, and assist in treatment rooms when necessary, especially for vulnerable patients or emergencies. Records & Data Security: Maintain, file, and retrieve patient records; ensure all medical and department records are kept safe and secure in accordance with policies. Facility Administration: Oversee the opening and closing protocols; manage office gadgets (tablets/phones); and handle general tasks like scanning, emailing, and monthly payment reporting. Communication Excellence: Act as the professional voice of the center over the phone and in person; handle patient complaints under management supervision.

Requirements

Experience: Proven experience in medical reception or a high-volume healthcare administrative role. Technical Skills: Proficiency in medical billing software, computerized appointment systems, and Microsoft Office (Excel for monthly reports). Industry Knowledge: Strong understanding of medical insurance claim processes, including the collation of supporting clinical materials. Soft Skills: Exceptional ability to comfort patients in distress, anticipate anxieties, and maintain a professional demeanor under pressure. Organizational Mastery: Ability to manage complex filing systems and multi-task between billing, phone calls, and clinical coordination. Language: Professional fluency in English; Arabic is highly preferred for patient interaction. Reliability: Strict adherence to center protocols regarding cash handling, opening/closing times, and data confidentiality.
